What data we collect

We only collect the data you give us or that is necessary for the website to work:

Contact form: your full name, email, phone number (optional), subject and the content of your message.
Volunteer and Academy applications: the details in the application form and the documents you send us by email (e.g. a copy of your ID card or driving license, solemn declarations). For the Academy, the details of the child and of the parent or guardian.
Technical data: like any website, the server automatically logs technical details of each visit (e.g. IP address, browser type, date and time) for security and to keep the site running smoothly.

Why we use your data

To reply to your messages and requests.
To review your application, register you as a volunteer or Academy member, and hand over equipment.
To operate and protect the website securely.

We do not use your data for advertising, and we never sell it or pass it on to third parties for commercial purposes.

Legal basis for processing

Consent (Article 6(1)(a) GDPR), which you give, for example, when you submit the contact form, and which you can withdraw at any time.
Steps taken at your request to register you as a member (Article 6(1)(b) GDPR).
Compliance with legal obligations that apply to volunteer civil protection organizations, where relevant (Article 6(1)(c) GDPR).
Legitimate interest in keeping the website secure (Article 6(1)(f) GDPR).

Who we share it with

PYSETH members responsible for handling your request.
Providers who support us technically, such as our website hosting provider and our email provider (Google – Gmail), only to the extent necessary.
Competent public authorities (e.g. the General Secretariat for Civil Protection), where required by law.

Some providers, such as Google, may also process data outside the European Union, with the safeguards provided for by the General Data Protection Regulation (GDPR).

How long we keep it

Messages from the contact form are sent to our email and are also stored in the website’s database. We keep them for as long as needed to handle your request.

The details of volunteers and Academy members are kept for as long as they take part and, after that, only for as long as required by law or to defend legal claims. They are then deleted.

Minors

The PYSETH Academy is for young people aged 12 to 17. Enrollment is carried out only by a parent or guardian, who provides the details and their consent. Children under 15 should not send us personal data without the consent of their parent or guardian.

Cookies and third-party services

The website uses only strictly necessary technical cookies and your browser’s local storage in order to work. We do not use analytics or advertising cookies.

Google Fonts: the website’s fonts are loaded from Google’s servers, so your IP address is transmitted to Google.
Google Maps: the Contact page embeds a Google map, which may set cookies and collect data in line with Google’s privacy policy.
Links to third parties: links to Facebook, Instagram, YouTube, gov.gr and other websites take you to third-party services governed by their own privacy policies.

Security

We take reasonable technical and organizational measures to protect your data, such as an encrypted connection (HTTPS) and access limited to authorized people. No method of transmission over the internet is completely secure, so we recommend sending sensitive documents only to our official email address.

Your rights

Under the GDPR, you have the right to:

access your data and have it corrected;
have it deleted or its processing restricted;
data portability;
object to the processing;
withdraw your consent at any time, without affecting the lawfulness of processing carried out before that.

To exercise your rights, email us at pyseth.voutza@gmail.com. We will reply within one month at the latest.

You also have the right to lodge a complaint with the Hellenic Data Protection Authority (www.dpa.gr, 1-3 Kifisias Ave., 115 23 Athens).

Changes to this policy

We may update this policy from time to time, for example when we add new features to the website. The current version is always published on this page, together with the date of the last update.
